Example questions

Ask in plain Thai or English. The AI decides which part of your shop’s data to fetch, and one question may fetch several at once — “Give me a summary of today” may pull sales, best sellers and sold-out items together.

  • How much did we sell today, how many bills, any voided bills?

Reasons the system separates: expired · spoiled · broken/damaged · lost · tasting/recipe testing · prep trimmings · adjusted to match actual (including stock counts) · other.

If a connection covers several shops, put the shop or branch name in your question — otherwise ScanFood sends the list of shops back so the AI asks you which one you mean.

Whole franchise (requires choosing “Whole franchise” when allowing access):

  • Yesterday’s total sales across all branches, how many bills, how many voided
  • Which branch sold the most this week, and which sold the least
  • This month’s total across all branches by payment method and by sales channel
  • Daily totals of all branches this week

The AI is given a note with every answer explaining what each number means. These are the ones most easily misread:

  • Net sales and item sales are different numbers. Net sales (sales summary, sales by hour/table/cashier, discounts, VAT, members) are after end-of-bill discounts, coupons and rounding, include service charge, and exclude tips. Item sales (best sellers, sales by category or seller, cheer-sale) are item price × quantity before end-of-bill discounts and without service charge. They don’t add up to each other — don’t compare one with the other.
  • GP is an estimate, not what the platform paid you. It is worked out from the GP percentage your shop set in ScanFood for each sales channel. ScanFood has no data on what Grab, Lineman or others actually deducted or transferred. A channel with no GP percentage set shows no figure (not zero). Bills that didn’t record the percentage at the time of sale use today’s setting, so if you change the percentage, past figures change with it.
  • Cheer-sale is not commission. ScanFood does not calculate commission. Cheer-sale is the item sales of paid orders credited to the staff member signed in on the device when the order was opened. Bills charged straight away without opening an order are not credited to anyone, and the figure differs from “sales by seller”.
  • Member counts can cover the whole brand. If your brand has several branches sharing one member program, the number of members and new sign-ups is for the whole brand. Sales from members are always this shop only, and count only bills that were linked to a member at checkout.
  • Cancelled bills and cancelled items are counted separately. Cancelled bills are counted on the business day the bill was sold, with amount and reason. Cancelled menu items have no amount, and cancelling a whole order or reducing a quantity is not recorded there — so zero cancelled items does not prove nothing was cancelled.
  • Cash over/short = cash counted − cash expected in the drawer, per drawer, not the shop’s whole day. A shift closed without entering the counted cash shows as “not counted”, not as exact or short.
  • Old open orders are not customers. Orders never closed stay open in the system. The AI is told which tables and orders are left over from a previous business day and how old they are.
  • The tax summary is not a VAT return. It covers output VAT on your bills only (no purchase VAT), and the VAT/service-charge settings it shows are today’s, not those on the day of sale.
  • Purchase order values use the price on the purchase order, not the price actually paid on receipt. An order the owner closed before everything arrived is reported as “closed short”, not “fully received”.
  • Ingredient movements don’t include stock used by sales — don’t use them to work out stock on hand.
  • Customer counts are typed in by staff and many shops don’t fill them in — the AI is told not to rely on them.
  • “No data” is not zero. Missing cost, an unset GP percentage, a shop with no member program, or a shift without a counted cash figure come back as “unknown”, and the AI is told not to read them as 0.
  • Cost above sales does not mean a loss — it is almost always a wrongly set product cost; the AI is warned not to conclude a loss (per shop and in franchise totals).
  • Every set of numbers names its shop — on a connection with several shops, check that the shop the AI names matches your question · the AI is told not to add up figures across shops without saying clearly which shops are included.
  • Incomplete answers are flagged. If a question hits a limit (too many bills, or the data took too long to fetch), the answer is marked incomplete and the AI is told to ask for a shorter range — it is never cut off silently.

  • Give clear dates — “1–15 September” is clearer than “lately”.
  • The shop’s “today” follows its cut-off time — if you close after midnight, a 1 a.m. bill counts toward the previous day in most sales topics (matching the app’s reports), but the bill list uses the date on the bill, so numbers around the boundary can differ slightly.
  • Too wide a range — the AI is told to split it; for a whole year, ask month by month.
  • Busy shops: ask by calendar month from the 1st — for shops with 3,000 or more bills a month ScanFood builds a monthly summary every night; best sellers, sales by hour/category/table, discounts, VAT and GP asked from the 1st of a month come back complete for the whole month without hitting the limit.
  • Several shops: always name the shop — e.g. “today’s sales at the Siam branch” rather than “today’s sales”.
  • “Low” means below the alert level you turned on — ingredients without a low-stock alert are only flagged when they are out or negative.
  • Anything that changes data — switching items on/off, changing prices, adjusting stock, voiding bills (read-only).
  • Ingredients close to their expiry date — expiry dates of ingredients are not available to the AI (you can only see items already written off as expired, under stock loss).
  • Member lists, member details and points — only totals; no names, phone numbers or individual members.
  • What a delivery platform actually paid you — GP is an estimate from your settings.
  • Commission and payroll — ScanFood doesn’t calculate them.
  • Supplier contact details — purchase orders show only the supplier name written on the order.
  • Brand or franchise promotions, item-level special prices and happy hours — the promotions list covers the shop’s own promotions only.
  • Best sellers across all branches — each branch’s menu items are separate records and can’t yet be combined correctly; ask branch by branch.
  • A total across several shops that are not one franchise — the AI can fetch each shop and compare, but there is no system-checked total (totals exist only for “Whole franchise”).
